Privacy & Cookies Policy

How GuildSignal handles account data, Discord workspace data, integrations, billing, cookies, and analytics.

GuildSignal is currently an early-stage product. Until a formal business entity is registered, the service is operated by Khalid Muzaffar based in Poland. These details may be updated if GuildSignal is later operated by a registered business entity.

1. Who we are

GuildSignal is a community intelligence platform for Discord communities and game teams. For now, GuildSignal is operated by:

2. Scope

This policy applies to:

  • the GuildSignal website and web app;
  • signup, onboarding, the Discord connection flow, the dashboard, and reports;
  • Jira and GitHub integrations;
  • billing and subscription flows; and
  • support and contact communications.

3. Data we collect

Account data

  • Name and email address.
  • Login and account identifiers.
  • Authentication and session data.

Workspace data

  • Workspace name, selected Discord server, and selected channels.
  • Workspace settings, plan, and usage limits.

Discord connection data

  • Discord user ID, server/guild ID, and server name or icon where available.
  • Channel IDs and names, bot installation status, and permissions or access metadata.

Discord message data from selected channels

  • Message content, timestamps, and channel information.
  • Author display name or user ID where available.
  • Message links or IDs, and attachments or links if processed.
  • Analysis outputs such as sentiment, urgency, severity, topic, issue category, confidence, impact score, and evidence summaries.

Issue and feedback data

  • Detected issues, feedback themes, spike alerts, and release impact.
  • Evidence messages, issue status, merge/split/correction history, and report outputs.

Integration data

  • Jira or GitHub connection status and OAuth/account metadata.
  • Jira project IDs or GitHub repository IDs if connected.
  • Links to Jira tickets or GitHub issues created through GuildSignal.

Billing data

  • Plan, subscription status, Stripe customer or subscription IDs, payment status, and invoices or billing events where applicable.

Payment card details are processed by Stripe and are not stored directly by GuildSignal.

Technical data

  • IP address and browser or device information.
  • Logs, error events, security events, and cookie or session data.

4. How we use data

We use data to:

  • provide and secure GuildSignal, and create and manage accounts and workspaces;
  • connect Discord servers and selected integrations, and sync selected Discord channels;
  • analyze community messages and detect issues, feedback spikes, urgency, sentiment, and release impact;
  • generate reports and PDF summaries;
  • send issues to Jira or GitHub when requested;
  • manage usage limits, plans, subscriptions, and billing;
  • provide support, debug problems, and improve reliability and product experience; and
  • prevent abuse, fraud, and security issues.

5. Legal basis

Depending on the context, we process data based on:

  • performance of a contract or taking steps before entering a contract;
  • legitimate interests, such as security, product improvement, abuse prevention, and providing reliable workspace intelligence;
  • consent, where required, such as for optional cookies or optional integrations; and
  • legal obligations, such as tax or accounting records where applicable.

6. Discord data and selected channels

GuildSignal is designed to analyze only Discord servers and channels selected by the workspace owner or authorized user. GuildSignal does not intentionally analyze unrelated Discord servers or channels.

Users are responsible for making sure they have permission to connect a Discord server and process data from selected channels. Users should inform their community members where required by law, Discord rules, or internal policies.

7. AI and automated analysis

GuildSignal uses automated and AI-assisted processing to classify messages, detect recurring issues, score impact and confidence, identify feedback spikes, summarize reports, and support Ask Timmy responses.

These outputs are decision-support information. They may be incomplete or inaccurate and should be reviewed by the user before taking action.

8. Sharing data with service providers

Data may be processed by providers that help us operate the service, including:

  • hosting, infrastructure, database, and storage providers;
  • AI or API providers used for analysis;
  • Stripe for billing;
  • Atlassian/Jira or GitHub when the relevant integration is connected;
  • analytics or error-monitoring providers if enabled; and
  • legal authorities where disclosure is required by law.

9. International transfers

Some providers may process data outside the European Economic Area. Where required, appropriate safeguards such as contractual clauses or equivalent protections should be used.

10. Data retention

We keep account and workspace data while the account or workspace exists. Synced Discord data and analysis results are kept as needed to provide reports, issue history, and workspace intelligence, subject to plan limits and future retention settings.

Billing records may be retained as required by law. Security and debug logs are retained for limited periods where possible.

Specific retention periods may be updated as the product matures.

11. Your rights

Subject to applicable law, you may have rights to:

  • access your data;
  • correct inaccurate data;
  • request deletion or restriction;
  • object to processing;
  • receive portable data;
  • withdraw consent where applicable; and
  • complain to a supervisory authority.

12. Security

GuildSignal uses reasonable technical and organizational measures appropriate to an early-stage service, including encrypted connections where applicable, access controls, secret and token protection, restricted access, and monitoring or logging. No internet service can guarantee absolute security.

13. Children

GuildSignal is not intended for children under 16 or the minimum age required by applicable law.

14. Cookies

GuildSignal may use cookies and similar technologies for:

Strictly necessary cookies

Login and session handling, security, CSRF protection, and billing or session flows.

Preference cookies

Theme, UI settings, and language or display preferences if supported.

Analytics cookies

Product or website analytics, only if enabled.

Marketing cookies

Only if enabled in the future.

If non-essential cookies are introduced, GuildSignal should provide appropriate notice and consent controls where required. Users can control cookies through their browser settings.

15. Changes

This policy may be updated as GuildSignal develops or if the operator or legal entity changes. The latest version and its update date will remain available on this page.
